Understanding the Monthly Learning Cycle
At ORACLES STUDIOS, regular monthly learning is based on a maximum of four scheduled learning weeks.
When a calendar month includes a fifth week, that additional week does not automatically become an extra regular learning week.
Depending on the schedule, the fifth week may be used as a break from regular classes or as an opportunity to complete replacement sessions that are still outstanding.
When Does a Replacement Session Arise?
A replacement session is created when a lesson has already been scheduled but cannot take place.
This may happen when:
- a student is unable to attend a scheduled lesson;
- the scheduled day falls on a holiday;
- the teacher is unable to attend;
- ORACLES STUDIOS is temporarily closed; or
- another schedule change prevents the planned lesson from taking place.
The missed scheduled lesson will then be recorded as an outstanding replacement session.
The Fifth Week Is One Option — Not the Only Option
An outstanding replacement session may be scheduled during the fifth week when suitable.
However, families do not need to wait until the fifth week. Replacement sessions may also be arranged at another available time, subject to the availability of the student, teacher, and class schedule.
The fifth week therefore acts as an additional scheduling window rather than an automatic fifth regular learning week.
Replacement Sessions Have a Usage Period
To keep monthly session records and schedules clear, outstanding replacement sessions must be used within the following periods:
- If the replacement session arises between the 1st and 17th of the month, it must be completed by the end of that same month.
- If the replacement session arises between the 18th and the final day of the month, it must be completed within 14 calendar days from the date it arises.
For example, a replacement session arising on 18 September may be used until 2 October.
What Happens After the Deadline?
If an outstanding replacement session is not used before its applicable deadline, the right to that replacement session will expire.
The system will then close the outstanding replacement session and count the corresponding scheduled session as used from the student's learning-session quota.
We encourage parents and students to arrange outstanding replacement sessions as early as practical rather than waiting until the final available date.
Why We Use This System
This policy helps ORACLES STUDIOS maintain a clear and consistent approach to:
- monthly learning-session calculations;
- missed or interrupted lessons;
- replacement scheduling;
- fifth-week arrangements; and
- student session quotas.
Our aim is to make session usage transparent and predictable for both families and the ORACLES STUDIOS team.
For assistance with an outstanding replacement session, parents or students may contact the ORACLES STUDIOS team through the usual communication channel.
